Booking & Reserving
How far in advance should I book my event?

When do I need to finalize my menu and event details?
Click Enter to see the detailsCatering arrangements and menu selections must be confirmed within 7 business days of your event (excluding holidays and weekends).

Are there extra fees for weekend or holiday events?
Click Enter to see the detailsYes. If your event falls on a weekend or a holiday, there is a $75.00 administrative fee and a minimum food and beverage purchase of $500.00.
Do you book the venue, tables, and chairs for me?

Rentals, Linens, & Staffing
Do you provide plates and utensils?
Click Enter to see the detailsWe provide eco-friendly disposable ware for all events as a standard. Upgraded chinaware, silverware, and glassware are available for an extra per-person fee.
Is linen included?
Click Enter to see the detailsTablecloths are included for food and beverage tables only. You can rent extra linens (available in round, rectangle, and napkins) for $1.00 to $8.00 each. Specialty colors can be requested via appointment. Specialty linens available upon request.
How much does extra service staff cost?
Click Enter to see the detailsCatering Servers: $39.50 per hour (minimum 2 hours).
Overtime Fee: If your event exceeds the agreed-upon timeframe, an extra labor fee of $100.00 per hour (or fraction of an hour) will apply.
Note: Buffet-style functions are staffed with one attendant for every 25 guests and are charged at the hourly staff rate.
Food Safety & Alcohol Policies
Can we take leftovers home?
Click Enter to see the detailsNo. Due to food safety liability and health regulations, guests may not remove food from the function site. Food must be enjoyed during the allotted event time.
What are the rules for serving alcohol?
Click Enter to see the detailsAll alcohol must be served by our Sodexo Catering staff (who are ServSafe and HLC trained) and consumed in designated areas. We strictly require ID and will not serve anyone under 21 or anyone under the influence of liquor.
What are the fees for bar services?
Click Enter to see the detailsA bartender is required for alcohol service ($45.00/hour, minimum 2 hours). We recommend 1 bartender per 75–100 guests.
Beer & Wine Set-up Fee: $50.00
Full Bar Set-up Fee (with liquor): $75.00
Bar Revenue Requirement: Each bar must hit a minimum beverage revenue of $250.00 per hour. If this minimum isn't met, a bartender fee of $150.00 plus tax per hour will apply instead.
Fees, Payments, & Deliveries
Are there any service fees?

How much are delivery fees?

Outside the Campus Center (on UH Mānoa campus): $25.00
Beyond the campus: Capped at a maximum of $250.00 (based on destination).
Note: Each delivery for a separate meal period (e.g., breakfast, lunch, reception) is charged as a separate delivery fee.
What are the payment terms?
Click Enter to see the detailsAll events must be paid/secured before the event date. We accept University Purchase Orders, authorized departmental accounts, checks, Visa, Mastercard, and Amex.
Changes, Guarantees, & Cancellations
When do I need to provide the final guest count?
Click Enter to see the detailsYour final head count is due 7 business days before the event. If a final number isn't provided, we will use your original estimated number as the guaranteed count.
How do I request changes to my order, and what is the deadline?
Click Enter to see the detailsSubmit changes by clicking the pink change request button on your digital order form at least 3 business days prior to your event. Changes made after this deadline will incur a fee.
What is the cancellation policy?
Click Enter to see the detailsTo avoid any penalties or full charges, you must cancel or change attendee numbers at least 3 business days before the event. If you cancel after this window, you will be responsible for any expenses already incurred.
